How to generate medicine bills directly inside MedExpiry

Most pharmacies run their inventory in one system and their billing in another. This means manual data entry in two places, mismatches between stock records and sales records, and wasted time reconciling both at month end. MedExpiry's billing feature eliminates this entirely.

Billing tied directly to inventory

When you generate a bill in MedExpiry, the medicines you add to the bill are pulled directly from your live inventory. Quantities update automatically when a sale is recorded. There is no separate stock deduction step — the billing action is the stock deduction.

What a MedExpiry bill includes

Each bill includes the medicine name, batch number, quantity sold, unit price, and total. Bills are dated and timestamped automatically. For GST-registered pharmacies, tax line items can be included per medicine. Every bill is saved to your records and retrievable at any time.

Who can generate bills

The Store Owner and Pharmacist roles can generate bills. Staff members with billing access can also process sales at the counter. Role-based permissions ensure that billing capabilities are assigned only to the right team members.

Monthly reconciliation

At month end, your billing records and inventory records are already in sync — because they were never separate. You can export your sales records as CSV and cross-reference with your supplier invoices to identify shrinkage, returns, or discrepancies instantly.

Getting started with billing

From your dashboard, go to Billing and select New Bill. Search for a medicine by name, select the quantity, and add it to the bill. Repeat for each item in the sale. Review the total and confirm — the bill is saved and stock is updated simultaneously. It takes under a minute for a typical prescription.
